These templates have been created to ensure consistency, professionalism, and visual appeal across all our email communications. By following these guidelines, you’ll maintain brand integrity, enhance readability, and create a seamless experience for recipients.

This page provides step-by-step instructions on how to use the templates effectively, including formatting best practices, customization options, and essential dos and don’ts. Whether you’re crafting a marketing announcement, an internal update, or a customer-facing email, these guidelines will help you deliver clear and engaging messages while staying aligned with our brand standards.

How to use the email templates:

Below are step-by-step instructions outlining how to use our MyEmma email templates. If you have any questions, please reach out to us at [email protected].

1  Create a new email campaign

  • To create a new email in MyEmma, click on the “Create New Campaign” button on the “Emails” screen.

2  Name your email

  • Select “Regular Email” and name your email. When naming your email campaign, please use the ticket number and name from Monday.com when applicable.
    • For example: “7875B: Powerhouse Speakers Series – All Member Email 1”

3  Choose your template

  • In the “Choose Template” screen, select “My Templates” in the left hand column.
  • On the right side, locate the template that corresponds with your product or email purpose.
    • For general marketing emails, use “BRAND BOOSTER – General”
    • For EOUpdate, use “BRAND BOOSTER – EO Update”
    • For MyEO Newsletter, use “BRAND BOOSTER – MyEO”
    • For Strategic Alliances, use “BRAND BOOSTER – Partnerships”

  • After you’ve located your template, hover over it and click “Start Here”

4  Add your content and customize!

  • Once you’ve opened your email, you can start adding your content
  • Please note that everything you see is placeholder content and you must ensure that you’ve replaced it before sending your email.
  • If there are sections you don’t need you may delete them and you can reorder sections.
  • Please confer with a brand team member if you make significant changes to the template before sending. Non-compliant emails will be flagged.

Customizations

Approved customizations

  1. Text Content: 
    • You may update text as needed, but keep the tone and voice aligned with brand guidelines. For guidance on tone and voice, please review our editorial guidelines on the brand portal. (coming soon).
    • Use approved fonts, sizes, and colors for body text and headings. For guidance on typography, please review the typography page on the brand portal.
  2. Images & Graphics: 
    • Use only brand-approved images and graphics. For guidance on EO photography, please review the photography page on the brand portal. 
    • Do not replace logos, icons, or background elements unless approved.
  3. Links & CTAs (Call-to-Actions): 
    • Ensure all hyperlinks follow brand standards (color, underlining, and formatting).
    • Use pre-approved button styles and colors for CTAs.

Restricted Edits (Do Not Change)

  1. Brand Colors & Fonts: 
    • Do not alter the font styles, sizes, or brand colors used in the template. 
      • **Because of our limited availability of fonts in MyEmma, we are currently using Arial. 
  2. Logo Placement & Size: 
    • The company logo must remain in its designated position and should not be resized or recolored. If you have concerns about the EO logo, please review the EO Logos & Usage page.
  3. Layout & Structure: 
    • Do not rearrange sections, columns, or spacing. If you need additional sections or adjustments, please reach out to us at [email protected]. 
    • Maintain the approved email width and padding for mobile responsiveness. If you have questions about creating a mobile-friendly version of your email or want to schedule a training call, please reach out to us at [email protected].
  4. Header & Footer: 
    • Do not edit, move or remove header/footer elements, including social media icons and legal disclaimers. This is a non-negotiable. If something is incorrect or not linking, please reach out to us at [email protected].

Formatting Best Practices:

  • Keep subject lines clear, concise, and brand-aligned. 
  • Make sure you are using our brand tone and voice.For guidance on tone and voice, please review our editorial guidelines. (coming soon)
  • Maintain consistent spacing and avoid excessive use of ALL CAPS, underlined, bold or italic text.
  • Test emails on both desktop and mobile before sending.

Accessibility & Compliance

  1. Ensure all images have alt text. 
    • This provides a textual description of an image, allowing users who can’t see the image, such as those with visual impairments using screen readers, to understand the content and context of the email, making it accessible to a wider audience; it also acts as a backup if images fail to load in a recipient’s email client, ensuring the message is still conveyed effectively.
    • Use sufficient color contrast for readability. For more information about color and contrast, please review the color page on the brand portal and review the current WCAG guidelines. 
  2. Avoid excessive use of ALL CAPS or underlining for emphasis. (see the screenshot above)

Accessibility & Compliance

  1. Translation Linking
    • When creating emails for translations the links should always be at the VERY TOP of the English email and should link to their corresponding emails. 
    • You must duplicate your finalized English email per language and CLEARLY name the email so that we can distinguish which language is which.
    • Add your content in the respective language.
    • Send the translations to yourself and link the web version to the corresponding language at the top of the English page.
    • ALWAYS send a test email after adding the language links and double check that they are working.
  2. Banners and graphics containing copy should be translated.

Significant template modifications and adjustments require approval from the brand team. 

Non-compliant emails may be flagged and require revisions before being sent again.
